Even though we have so many modes of communication available to us today - email, cell phones, fax, VoiP - miscommunication is still an issue we sometimes face. But communication problems aren't always due to technical issues although it does happen. Emails don't go through, calls are dropped, voicemails get cut off. But it may not be that the message wasn't received - it may be that the message wasn't clear. When you're running your own business and if you are a VA or you work with one, communication is essential. One thing I've noticed is that business owners will try to be polite and say things like "It's no hurry, take your time" or "I know you're busy so just get it to me whenever you can" when the truth is they do have a deadline or time frame in mind. What is it that makes us afraid to speak up and be clear? Are we afraid of seeming too demanding or bossy? I've noticed this with women more than men so it could possibly be some sort of gender stereotype or perceived social expectation. If you have something that needs to be done by a certain time, you have every right to say so. Even if you only have a "ballpark" date, you can convey that to the other person and there is nothing impolite about it. If you are paying someone to take care of something for you, you are entitled to state your expectations. In fact, by saying that your project or task is "no big hurry" or can be done "whenever you have time", you are sending the message that the job isn't that important. But that's not true. It is important. If it wasn't, you wouldn't be paying someone to do it. And since a VA is an independent contractor rather than your employee, you won't have as much input over when tasks are scheduled for completion or where they should be on the priority list. So its important to make your expectations clear and allow the VA to take that into consideration when they do plan their work schedules. If you are a VA, don't be afraid to ask for the information. Even if a client says it doesn't need to be done right away, chances are they do have a goal date in mind and if they don't give you one, ask for it. By being clear about what it is you need, everyone benefits. You get a higher quality and more timely result and it allows your VA to better plan their schedule and give your project the time and attention it deserves.
